Activating your Projects in Backpack

The Projects page allows you to track important work going on in the building from initiation to completion as well as add rewards to the project!

Create & Edit new project(s)

There are two ways to add projects in the software according to where you are in the process
    1. Enter projects using the "+ Add Project" button (details below)
    2. If you are onboarding a new property or completing an annual update - send your project list to your onboarding coordinator or support@backpacknetworks.com & we will upload it for you.  Once uploaded all details can be edited!

Manually enter projects

  1. Select the "+ Add Project" button on the right side of the page
  2. You'll first be asked to give your project a name.  This is what you call the project internally, in a budget document, within your team, etc. Examples include: Chiller Replacement, Carpet for Apartment 712, Roof Replacement, etc.
  3. Once the name is input click SAVE
  4. Your project is now saved & in the building list. Click on the project name now to add all the details. Once you click a new window will open. NOTE: You can go back to the projects list at anytime by clicking Projects at the top of the page.
  5. To Edit click the pencil icon on the right of the project page (to the right of "Energy Saver")
  6. Now you can enter all the details for the project including budget information, attaching documents and adding initial notes. Click HERE for details on each field. There are no required fields on this page - enter as much information as you have right now.  You can always come back and edit the information.
  7. When you are done, click SUBMIT at the bottom right to save the changes.
  8. Lastly, make a plan to come back to the projects page on a recurring basis to update your projects.  We suggest a monthly check of projects & status is a good cadence.  

💡 The projects page can be utilized for status meetings with other users! It allows you to sort by multiple fields to make reviewing and updating easy & effective!

Edit a Project

  1. To Edit a project click the project name in the project list
  2. Click the pencil icon on the right of the project page (to the right of "Energy Saver")
  3. Now you can enter all the details for the project including budget information, attaching documents and adding initial notes. Click HERE for details on each field. There are no required fields on this page - enter as much information as you have right now.  You can always come back and edit the information.
  4. When you are done, click SUBMIT at the bottom right to save the changes

Delete a Project 

  1. Click the checkbox to the left of the project name.
  2. Click the trash can icon at the top of the projects list.
  3. A confirmation window will pop-up, select DELETE to delete the project or CANCEL to return to the prior screen
💡 Please keep in mind that deleted projects CANNOT be restored.

Search for a Project 

  1. In the search bar above the project list, enter the term to search. The search function will search the name of projects only.
  2. The results of the search will automatically populate on the screen

Filter Projects

Projects can be filtered by: Status, Type or if they are an Energy Saver. 
  1. Click the filter field & select the desired filter option.  Note: only options appearing in your list will show up.  For example, if you don't have any completed projects, that option will not appear in the filter list.
  2. The results of the filter selection will automatically populate on the screen.

Sort Projects

You can change the list order of your projects by selecting the up and down button by each field in the list view. 

Export Projects
  1. Select the projects to export by clicking the checkbox next to each project OR select all projects by clicking the box at the top of the list.
  2. Click the down arrow icon at the top of the list to export a CSV of all project data
  3. The data will download according to your operating system & can be edited, shared, etc.

💡 If you make changes to the CSV file, be sure to save the file as an Excel file to keep your changes. CSV files won't save formatting, etc. 

Add Decarb Metrics to Energy Saving Projects

Projects that are expected to save energy (electric or gas) and have the "energy saver" box checked are eligible to add Decarb information to the project via the Decarb Metrics tab.  This allows sustainability focused team members to enter expected savings from the project along with notes.

  1. Click the project name to open the project details view
  2. Make sure the "Energy Saver" box is checked on the right side of the screen
  3. The Decarb Metrics tab should now be visible just above the name of the project.  
  4. Energy the savings information in accordance with the field suggestions & units of measurement.  Use the plus (+) or minus (-) as needed to reflect the correct information.
  5. Click SUBMIT and you are done!

💡 Add a note to the notes section with a reference to the Decarb metrics source & attach the document to back up these numbers.  For example, a note could read: Added decarb metrics for the project based on ABC Engineering calculations in March 2025. Saved the email to the documents section for future reference"

Add Rewards to Projects

You can add a reward to projects as soon as they are entered into Backpack or later on in the process. Learn more about Rewards HERE.
