Building Overview Improvements & Reporting

Learn what data is available at a portfolio and building level with the new Overview Report, and Building Contacts.

The new building overview report offers users a comprehensive view of essential building data, such as property type counts, building region breakdowns, property  rollups, main building contacts, gross floor area, and more. This feature serves as a valuable tool for monthly reporting purposes and can be effortlessly downloaded and utilized as needed. With built in filters, reporting is easy and quick for your portfolio. 

One of the main improvements with the new building overview is the ability to tag users to specific buildings. With this new feature users have the ability to assign an Asset Manager, Property Manager, and Building Engineer to each building, making record keeping and outreach easy! To View the Building Overview Report:

STEP 1: 

After logging into Backpack, you can access the REPORTS tab located on the left menu Click on BUILDING OVERVIEW to view the detailed report, which will display essential building data for your portfolio.

Here you will see several different segments of data about your portfolio which can be looked at using standard and advanced filters.

Overview Report Breakdown

The Property Type chart displays a breakdown of property type counts for your portfolio of buildings in Backpack. Hover over each color section to see the associated building count. Learn more about how we keep this information updated using Tenants & Spaces.

The Buildings by Region map provides a snapshot of buildings in your portfolio grouped by the 4 US Census Regions: 

- West

-Midwest

-Northeast

-South

The region classification for each building is determined by the building address.

The Property Rollup section of the report displays the following information: 

 1. Total Property Count

2. Breakdown of total buildings per property type

3.Total Square Footage of each property type total

Below the Property Rollup section you will see the option to view a building breakdown in a card or table view. The data can also be exported to a CSV file and used for reporting purposes.

Report Filters:

Standard report filters include: 

1. Property Type

2. Fund (if applicable) 

3. Market (if applicable) 

4. Asset Manager

To apply a standard filter to your overview report: 

STEP 1: Click on the filter dropdown you wish to change 

STEP 2: From the dropdown menu, select the attributes you wish to filter. For this example, we will look at the Property Type filter.

Filter selections can be reversed by repeating the process above, or by selecting 'CLEAR ALL'.

For our example you will see the Property Type option selected in the standard filter.

Advanced report filter includes: 

1. Building level filters for all buildings in your portfolio.

Here, you have the option to 'SELECT ALL' 'CLEAR ALL', or scroll to select each building you desire.

To apply an advanced filter to your overview report:

STEP 1: Click on the advanced filter dropdown. 

STEP 2: From the dropdown menu, select the buildings you wish to report on. You can also 'SELECT ALL', or 'CLEAR ALL'.

Once selected, your portfolio overview report will update.

To Add a Primary Building Contact to the Building Overview:

STEP 1:

Login to Backpack and select the building you want to add contacts to.

STEP 2:

Navigate to the 'OVERVIEW' tab on the left-hand menu. 

You will see the Building Overview Screen, and new Building Contacts section.

From here, you can add a building contact under the titles; Asset Manager, Property Manager, and Building Engineer. 

Select the user you wish to assign the role to. You selection will automatically save.

Note: In order to be a primary building contact and appear in the dropdown list, the individual must be a Backpack user for the building. If you do not see the user you wish to assign, reach out to support@backpacknetworks.com.
