Understanding the System of Record View Data Panel on the Overview Page

The System of Record View Data panel on the Overview page protects your data & tracks changes to the most important information about the building.

Data Covered

The System of Record (SOR) view data panel has two functions: to protect your most important building data, and to track changes to that data.  Here are the data fields the SOR controls:

    • Read Only Fields - contact Backpack support to make changes
      • Building Name
      • Property Type
      • Rentable Floor Area
    • Editable Fields
      • Legal Name
      • Address
      • Gross Floor Area
      • Year Constructed

Using the SOR

The SOR tracks every change made to the fields above regardless of who makes that change.  When a new value is entered the software will note:

  • The date and time the change was made
  • How the change was made (user input or Backpack team updates)

This allows you to know when changes were made and track any changes that you might need to further investigate.

Ways to use the SOR

  1. Track changes to the SQFT of a building overtime both in read only fields and editable fields
  2. Track changes to ownership via legal entity
  3. Update address when a street name changes

Edit Information in the SOR

You can change the value and source of the following information:

  • Editable Fields
    • Legal Name
    • Address
    • Gross Floor Area
    • Year Constructed

To make a change:

  1. Click on the field you want to change
  2. Click on the +ADD VALUE button 
  3. Add your new value
  4. Click SAVE
  5. The log at the bottom of the panel will now display the date, source & type of change

You are done - the new value will appear in the Backpack.  Made a mistake? No problem, repeat the steps above.
